Position Summary:
The Undergraduate Studies (UGS) Program Specialist reports to the Division Director and assists the Seminar chair, faculty, and the coordinators of Bridge and Degree in 3 Programs in the ongoing direction and operation of UGS and yearly academic operations. The Program Specialist supports administrative work for institutional general education, assessment, and other related program duties.
Minimum Classification Qualifications:
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR
an equivalent combination of training and experience.
One year of postsecondary education may be substituted for up to one year of the experience.

Preferred Qualifications:
Experience interpreting and observing confidentiality restrictions.
Bachelor's Degree.
Preference considered for applicants who are knowledgeable in Gmail, including calendar and e-mail; Banner SIS; Banner FIS; Internet and other SOU campus Information Systems.
Experience with confidentiality consistent with FERPA and BOLi guidelines.

Job Duty: Program and Curriculum Support
Assists the Seminar Chair and Program Coordinators in completing tasks as assigned.
Provides administrative support for committees, such as Seminar Faculty Meetings, General Education Committee meetings, and relevant search committees.
Organizes and maintains General Education course application materials and program review records for the General Education Committee.
Collects and files course syllabi for all General Education and Seminar courses each term for accreditation compliance.
Updates program promotional materials, correspondence, forms, and frequently used materials by students, parents, and faculty.
Assists with gathering and reviewing information for the annual Seminar Program faculty loading report.
Assists with the cycle of programmatic and institutional assessment to include data collection preparation and support for faculty assessment assignments.
, Job Duty: Office Management Administrative Support
Answers or redirects inquiries from current and prospective students, parents, staff, faculty, state and federal agencies, and the public.
Inventories supplies and initiates purchases for the programs and faculty.
Initiates journal voucher requests with the Service Center to redistribute expenses (e.g. copier charges) and resolve discrepancies.
Monitors service and supply expenses against annual budgets, including faculty professional development accounts (PDA) and grants with support from the Service Center; provides periodic updates to relevant stakeholders.
Serves as Purchase Card Custodian for the Undergraduate Studies and Bridge purchase cards.
Requests fob coding, keys, and computer access for new employees.
Submits work requests with Facilities, Management, and Planning for minor maintenance issues.
, Job Duty: Student Support and Student Employee Supervision
Inputs advising and attribute information for all Seminar, Degree in Three, Bridge, and other students as assigned (e.g., new majors, faculty advisors).
Organizes, collects, and prepares student applications for the Degree in Three and Bridge Coordinators for review and acceptance.
In consultation with the Chair and Program Coordinators, hires, trains, supervises, and evaluates student employees.
Approves student timecards and carefully monitors student payroll expenditures to stay within annual budget.
Resolves student employee payroll discrepancies with Payroll Office.
Job Duty: Scheduling and Event Coordination
Schedules academic courses for Seminar Writing sequence and UGS prefix classes.
Assists with arranging department meetings, including calendar invites, catering, room or venue reservations, and special activity coordination.
Coordinates with Bridge, Degree in Three, and Interdisciplinary Studies Program for graduation celebrations.
Coordinates with faculty in Seminar, Bridge, and Degree in Three to support Preview Days and Week of Welcome events.

Performs special projects as assigned for UGS programs.
