The Circulation Desk Specialist position is one of three full time classified staff in the Access Services Department that report directly to the Access Services Coordinator. This position works at the circulation desk to provide a wide range of support and services to SOU students, faculty, staff, other affiliates, and the general public, including opening the library Monday-Friday. As the first service desk seen upon entering the library, primary areas of responsibility include: 1) assisting library users with informational and directional questions about library services, resources, and spaces; 2) performing routine and some non-routine circulation transactions such as borrowing eligibility, requesting from local holdings or other libraries, items reported missing/ lost/damaged/or claimed returned; 3) assisting with the supervision of student employee work at the Circulation Desk by coordinating shift coverage, assigning work, and engaging student employees with job development skills; and 4) ensuring that the service desk area is fully stocked with supplies and resources necessary for overall smooth desk operations throughout all library open hours. Other areas of responsibility include backup support for: 1) Resource Sharing to print, pull, and process items borrowed from and loaned to other libraries; 2) Stacks Maintenance and use of the Library of Congress & Dewey Decimal classifications systems; 3) the library Research Lab to troubleshoot minor computer, printer, and copier problems. This position also works a flexible schedule during library extended hours, and during staff absences as needed.
Minimum Classification Qualifications:
2 years of current library experience (within five years) OR, Associates degree (or equivalent 72 quarter hours or 48 semester hours), and 1 year of current experience; OR, An equivalent combination of current library experience, training and/or education in related fields; AND, proficiency in multiple library specific computer applications, e.g., integrated library systems, database applications, institutional repository; content management systems.
Experience working in library.
Working knowledge of an Integrated Library System (ILS).
Knowledge of library organization and the Dewey Decimal and/or Library of Congress call number classification systems.
Demonstrated ability to understand and engage in best practices for user services and emerging trends.
Proficiency using Microsoft Word and Excel.
All Listed Duties:
Opens the library and may flex schedule to close the building and/or to work extended hours.
Works at the Circulation desk performing routine circulation duties using an ILS (Alma), to check out, and check in, library items.
Communicates with library users in person, over the phone, and via email.
Verifies borrowing eligibility and creates or updates library accounts as appropriate.
Explains borrowing policies, charges, and the billing appeal process as per department and library policy. Troubleshoots, resolves, or refers extensive problems as appropriate.
Creates brief item records. Researches and explains local, Summit, and ILL requesting policies, procedures, and status updates.
Collects and processes payments for library charges and service fees in the cash register and in the ILS.
Provides basic support for circulation billing, and searches the stacks for Claimed Returned and items that have been billed for replacement.
Compiles and organizes statistical information for Circulation Desk transactions on a monthly, quarterly, and annual basis. Monitors and addresses security gate and emergency exit alarms. Engage in general building security measures, and report unusual incidents as appropriate.,
Assists with student employee application screening, interviewing, training, supervising, and assigning work for 13-20 student employees.
In collaboration with supervisor and other department staff, creates, updates, and manages student employee documentation in online and physical formats. Attends student employee group meetings & workshops each term. Assigns student employee desk shifts and monitors work for accuracy. Updates student employee print and online schedules, tracks attendance and performance, and serves as a proxy for timesheet approvals.,
Resource Sharing & Fulfillment Services Support:
Assists the Resource Sharing & Fulfillment Services Lead staff member with borrowing, lending, and requesting processes. Includes local requests, Course Reserves, Instructor Film Bookings, Summit, ILL, and some non-traditional items.
Supervises student employee work of resource sharing & fulfillment services support tasks.
Verifies user or institutional eligibility for borrowing and requesting services for local, Summit, and ILL items. Alternate contact for ExPak and JCLS courier services.
Creates, updates, and deletes brief item records. Troubleshoot and refer problems with brief and some full item records. Includes ILL borrowing, Course Reserves, Library Technology, and other on-the-fly records. Interacts with SOU faculty by receiving requests for Course Reserves and Film Bookings, and assists with the physical and ILS processing. Creates item records, courses, and reading lists, and removes them at the end of each term.,
Other department support:
Stacks Maintenance support for in stacks searching and stacks maintenance student employee supportive supervision,
Tech Help Desk backup support, check in/out laptops, chromebooks, and accessories when no Tech Help assistant is available. Know where items are stored and where to get them and return them. Works with and communicates problems and resolutions with library IT consultant.
Periodicals searching support and assisting with microforms readers when Periodicals staff are absent for the day, or during evening & weekend shifts.
Basic Research Services support, provided at the Circulation Desk, when no librarian is available.
Library Administration support for Friends of Hannon Library memberships and library events as needed. Technical Services support for item donations & booksales.,
Other duties as assigned.
Special Instructions to Applicants:
Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
Must be able to successfully pass a pre-employment background check.
