Under the general direction of the Manager of Employment and Recruiting, the HR Recruiting Assistant serves as the primary point of contact and coordinator for the student employment program, provides support to the general recruitment function, and assists with a variety of HR tasks and projects.
This position engages with students, faculty, staff, and other members of the university community, and works collaboratively with team members in various HR roles. Hours will typically be M – F 8:30 a.m. to 4:30 p.m., and will require overtime during peak periods (i.e. late August – early September).
Work will be reviewed through meetings, reports, analysis, and observation of results.
ILLUSTRATIVE EXAMPLES OF WORK:
Serves as the primary point of contact for and coordinates all activities associated with the University’s Student Employment Program, including, but not limited to – recruiting, interviewing, student placement, communications, training, and working with hiring managers on managing and motivating student employees.
Responsible for the overall administration of student employment program, including records management, establishing and maintaining student personnel and pay records, and maintaining the Student Employment Database.
Works collaboratively and meets regularly with both on and off campus student employment hiring managers/partners to ensure policies and procedures are understood and are being followed; visits off campus partners to provide information and training on the Student Employment Program; develops and sends communication to off campus student employees to ensure program goals are being met.
Coordinates all activities associated with the annual student employment performance appraisal program.
Works closely with the Office of Financial Aid to coordinate eligible student aide candidates.
Prepares reports and conducts audits on a regular and as-needed basis.
Performs a variety of tasks in support of the general recruitment function. Identifies professional and diverse advertising venues, posts positions in print, online, or via social media, follows up on applicant and hiring manager inquiries, reviews resumes and assists hiring managers in developing appropriate interview questions, participates in training on employment-related topics.
Assists with managing requisitions in the Applicant Tracking Solution; updates the database as needed ensuring accuracy and timely posting of information, develops training materials to assist hiring managers with understanding of system functionality, develops reports and monitors trends.
Regularly attends job fairs, open houses and the like representing the Student Employment Program and the Office of Human Resources. Some of these events will be during evening hours and on the weekends.
Regularly updates employment website and social media venues to assure accurate and timely information is posted.
In partnership with the Administrative Assistant, serves as first point of contact for visitors and callers to the office; answers phones, opens mail, assists visitors, etc. This element is critical as the front office must be staffed at all times so that we can provide service to students, faculty, staff, and others.
Assists students and other new hires with the completion of tax and employment forms.
Assists department in carrying out various human resources projects and frequently benchmarks peer and aspirant institutions to ensure best practices in recruiting and employment.
Performs related duties as assigned.

REQUIREMENTS OF WORK:
Associate’s degree and 1-2 years of experience in Human Resources setting.
Bachelor’s degree in Human Resources, Business of closely related field of study.
Prior experience in recruiting function.
Experience in higher education.
Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
Prior HR experience supporting a recruiting and employment function.
Knowledge of applicable employment and hiring laws.
Familiarity with Applicant Tracking systems and solutions; Cornerstone ATS experience is helpful.
Prior experience with HRIS function and database.
Prior experience with managing web and social media content.
Excellent organizational, analytical, and administrative skills.
Effective oral and written communication skills.
Excellent interpersonal skills with a strong customer orientation.
Excellent presentation skills with the ability to present to small and large audiences and be viewed as a subject matter expert on areas of job responsibility and practice.
Strong computer literacy and proficiency in Microsoft Office Suite, including Word, Excel, Access and PowerPoint.
Ability to generate reports and analyze data.
Ability to work under tight deadlines and with multiple projects.
Ability to work overtime as needed, including occasional evenings and weekends.
Ability to establish and maintain effective working relationships with faculty, staff, students, and the general public.
